Find out why August is the best time to cover your autumn peaks in Belgium, and how pool management gives you students who move with your workload.
You probably know the scenario
Summer is drawing to a close, the September planning is roughly settled and autumn still feels far away. Until mid-October, when the first Black Friday figures come in, the end-of-year rush announces itself and two people suddenly fall ill. Then the calling, searching and training start, exactly when every employer in Flanders is doing the same.
You are in good company. And the good news: this is a timing problem, not a staffing problem.
In short: anyone who wants student workers for autumn is best searching in August, not in October. Students fix their availability now, as they put together their timetable for the new academic year.
- In August you choose from a full group of available students; in October you get what is left.
- Your peak periods are predictable: Black Friday, the end-of-year rush, stocktaking and the flu season are already in your calendar.
- With pool management, Recruit a Student runs a pool of students who pass on their availability every week, so you can scale up and down daily.
- We take over all the paperwork: Dimona declaration, contracts, hours tracking, payroll and replacement when someone drops out.
Why is August the best time to look for student workers for autumn?
August is the best moment because it is in these very weeks that students put their academic year together. They know their class timetable, they know which evenings and weekends are free, and they are actively looking for a job that fits. Anyone with a concrete offer ready at that moment chooses from the whole group.
By October that division has largely happened. The students with the most usable availability, the flexible weekends, the evenings, the free Tuesday afternoon, already have an employer. What is left rarely fits your schedule exactly. You do not pay that difference in rate, but in time: longer searching, more changes, more training.
There is a second reason. A student who starts in September is working independently by November. Someone who only arrives in mid-November has to be trained at the busiest moment of your year, by colleagues who do not have a minute to spare. Moving the induction period to a quiet month is one of the cheapest adjustments in your entire autumn planning.
What does a cooling labour market mean for your planning?
A cooling labour market makes recruiting a little easier, but it changes nothing about your peaks. In the first quarter of 2026 there were 140,462 vacancies open in Belgium, over 5,400 fewer than the quarter before, according to Statbel. The vacancy rate fell from 3.50% to 3.42%.
That figure is often read as “finding staff is solved”. It is not. A lower vacancy rate says something about the average across a whole year and across all sectors. Your workload is not average: it is concentrated in eight to ten weeks between November and January, exactly when logistics, retail, customer service and cleaning across Flanders are all looking for extra hands at the same time.
What the cooling does give you is breathing space. You can recruit calmly. You can select on who fits the way you work, instead of on who can start tomorrow. You only have that luxury if you start now.
Which peak periods are in your autumn calendar?
Most autumn peaks are perfectly predictable. Anyone who writes them out sees straight away how many extra hours are needed, and when.
- Black Friday and the weeks after: the peak in order processing, warehouse work and customer service starts at the end of November and lasts into the returns wave in early December.
- The end-of-year rush: extended opening hours, extra deliveries and public holidays your permanent team wants to take, just when volumes are highest.
- Stocktaking and year-end closing: short assignments in December and January for which you do not want to open a permanent contract.
- The flu season: the least discussed peak, and the only one you cannot plan. Between December and February absence coincides with maximum pressure.
Each of these peaks asks the same thing: people who already know how you work and whom you can deploy quickly. Not four new faces who still have to be told on 25 November where the scanner is.
Would you like to lock in your autumn now?
Recruit a Student helps employers in Belgium find motivated young staff quickly and flexibly, in transport, logistics, cleaning, customer service, technical work and finance. From selection to contract: we arrange everything. Request a no-obligation conversation.
What is pool management and how does it work?
Pool management means that Recruit a Student puts together and runs a pool of screened students for your company, in which the candidates pass on their availability every week. That lets you request a different number of students each day and pay only for the hours actually worked.
In practice it works like this. We map out your peaks and schedules and assemble a pool of students whose availability matches them. Through our planning systems and the Poolmanager app you schedule requests seven days a week and follow progress. If someone drops out because exams start or their studies end, we top up the pool from our database, without you having to search again.
The difference with one-off recruitment lies in continuity. Starting again every season means search costs, selection time and induction hours every season. With pool management at Recruit a Student you work with people who are already trained and know how you operate, while you are not tied to staff you only need in busy periods.
Recruit a Student has been active since 2015, has offices in Antwerp and Brussels and works with a network of more than 500 students.
How to lock in your autumn planning this month
- Put your peaks on paper: note, week by week from October to February, how many extra hours you expect. Without that overview you recruit on instinct.
- Think in availability, not in numbers: two students with the right free days are worth more than four who can only work on Saturdays.
- Plan the induction period in a quiet month: let new students work alongside the team in September or October, so that they are fully deployable in November.
- Build a pool instead of a list: stay in touch with students who worked well, including outside the peak. That is exactly what pool management does for you.
- Leave the paperwork with your agency partner: Dimona, contracts and payroll do not belong with your team leaders in the busiest weeks of the year.
The labour market is cooling, but your autumn peaks remain where they were. The difference between an autumn that runs smoothly and one that grinds is made in August, at the moment students fix their availability. Recruit a Student lines up that group for you now, runs the pool through the season and takes over all the paperwork. One conversation is enough to see what your autumn actually needs.

Frequently asked questions
When should I look for student workers for autumn?
Ideally in August, and in early September at the latest. Students fix their availability once their class timetable is known, at the start of the academic year. Anyone who starts searching in October competes with every other employer for the students who are still free.
What is the difference between pool management and ordinary agency work?
Pool management is not a different type of contract but a way of planning on top of agency work. With a classic agency request you ask for staff per assignment or per period. With pool management, Recruit a Student runs a pool of candidates who pass on their availability every week, so that you can schedule a different number of students each day without starting a new search each time. In both cases you pay only for the hours actually worked.
Do I have to file the Dimona declaration for student workers myself?
Not when you work through Recruit a Student. As a licensed agency we handle the Dimona declaration, the contracts, the time registration and payroll. The administrative obligations lie with us, not with you.
How quickly can I deploy students if it does become urgent?
That depends on the sector and the region, but with an existing pool it is a matter of days rather than weeks. Without a pool the selection process starts from scratch. You will find more practical information in the frequently asked questions for employers.
Recruit a Student matches you with talented students who are glad to contribute to the growth of your company. We have a broad network of students in various sectors. Contact us without obligation to discuss the possibilities.
